The instinct was to add more rules, but the data said otherwise…
Moving into a smaller office, Pay.UK's facilities team expected they'd need strict booking rules to make the new space work.
Instead, they ran a two-month test-and-learn trial using real usage data before deciding anything and found the rules weren't needed at all.
People naturally clustered around the colleagues they needed to sit with.
The result was 53% fewer desks, capacity for 600+ more weekly visits, and better team collaboration than the old, more rigid layout ever had.

ABN AMRO’s Amsterdam HQ was housing twice the number of people the building was designed for.
Its facilities team had almost no data to manage that growth with.
Rather than guess, they built a dedicated data function from scratch, and used HubStar's WiFi-based occupancy tracking to see, in real time, how the building was actually being used.
What came out of it wasn't a big strategic overhaul.
It was a string of specific, unglamorous fixes such as smoothing out the lunchtime crush, cleaning based on actual usage instead of a fixed schedule, giving employees a live view of where space was free.
They were small operational wins, but the kind that are only found once you can actually see what’s happening.
DM us VALUE and we’ll walk you through what this kind of data could do for your organization.

When you’re making decisions that affect real estate, culture, and employee experience, gut feelings aren’t enough.
Especially when the stakes are this high.
If the picture you’re working from is incomplete, even the right questions can lead to the wrong strategy.
That’s the tension a lot of workplace leaders are sitting in right now.
If you’re making workplace decisions right now, what’s the one thing you’d want clearer data on first?
We’d love to hear from you in the comments
